Important Notes:

• Accommodation rates are listed in EURO and per night. Payments can be made via bank transfer or credit card. The 2% accommodation tax (per night/per person) is not included in the rates above and will be paid during online booking. Prices may be adjusted due to changes in applicable taxes, duties, or fees.
• Recommended booking - minimum 4 nights as of check-in: April 15, 2026, check-out on April 19, 2026.
• All-inclusive stay includes buffet breakfast, lunch, and dinner (starting with lunch on the check-in day and ending with breakfast on the check-out day), as well as domestic alcoholic and soft drinks included in the all-inclusive concept. Guests have access to the indoor and outdoor pool (depending on the season) and the fitness center. Detailed information will be provided at check-in at the hotel reception.
• Bookings are handled on a first-come, first-served basis and are only confirmed once full payment is received. If you do not receive confirmation, please contact the registration secretariat.
• The hotel check-in time is 14:00, and the check-out time is 12:00. If you wish to check in before 14:00, please book your room for the night before your arrival.

Methods of Payment:

Payment via Bank Transfer

All fees must be paid in EUR (€) and should be free of any bank charges. Please ensure that your unique registration ID, registered full name and reference "ASCVTS 2025" are clearly indicated on the payment slip to prevent delays. After completing the payment, the transaction receipt should be sent to the registration secretariat at [email protected]. Participants are responsible for all bank charges, which must be covered in addition to the registration fees.

Final Invoice:

The final invoice will be issued after the congress concludes, based on the invoice details provided during registration.

Cancellation & Modification Policy:

All accommodation cancellation or modification requests must be submitted in writing to the ASCVTS 2026 registration secretariat by email at [email protected]. The following policy applies:

• Cancellations received on or before 16 January 2026 - 50% refund of the total amount.
• Cancellations received on or after 17 January 2026 - No refunds will be issued; however, name changes are permitted after this date.

Refunds will be processed within 30 days after the congress, with any applicable bank charges deducted from the refunded amount.
